Best AI Meeting Notes Tools for Sales Teams in 2026
Affiliate disclosure: We may earn a commission if you sign up through links on this page — Fireflies.ai and tl;dv both run affiliate programs — this site is a Fireflies.ai affiliate and may join tl;dv's. We do not have an affiliate relationship with Otter.ai or Fathom. See our disclosure and methodology for exactly how that is handled in our rankings below, including a correction we made to an earlier comparison after catching our own ranking error.
If you've read our general AI meeting-notetaker comparison or our Otter vs. Fireflies head-to-head, you already know the basics of what these tools do: join your call, transcribe it, summarize it. For a sales team, that's table stakes. What actually matters is whether the tool pushes deal-relevant information into your CRM, flags what's happening in a deal (or going wrong with it), and helps reps get better at selling — not just whether it can write a decent summary.
This article looks specifically at that layer: CRM sync, deal intelligence, and AI-driven sales coaching, across the same four tools we've covered before — Otter.ai, Fireflies.ai, Fathom, and tl;dv — plus what it actually costs to get those features, which (as you'll see below) is not always the same as the headline price you'll see advertised.
The core finding: "sales features" and "cheapest plan" are usually not the same plan
This is the single most important thing to understand before you buy any of these tools for a sales team: the entry-level paid plan on every one of these tools is built for note-taking, not selling. Real CRM sync, deal-risk flagging, and AI coaching/scorecards live on a higher tier — sometimes one tier up, sometimes two. Buying the cheap plan because it's "basically the same tool" is a common, avoidable mistake.
| Tool | Cheapest plan with real CRM sync | Price (per user/month, annual billing) | AI sales coaching / scorecards included? |
|---|---|---|---|
| Fireflies.ai | Business | $19 | Yes — Deal Intelligence, AI Scorecards (MEDDIC/BANT/SPICED), on Business & Enterprise |
| Otter.ai | Business | $19.99 | Partial — "Otter Sales Notetaker" and deal-signal extraction on Business; full custom workflows on Enterprise |
| Fathom | Business | $25 | Yes — AI Scorecards, Deal View, coaching metrics, on Business only (not on the cheaper Team plan) |
| tl;dv | Pro (basic CRM sync) / Business (coaching) | $18 (Pro, sync only) / $59 (Business, adds AI coaching) | Sync only on Pro; AI coaching feedback requires Business |
All prices above are per-seat, billed annually, for the specific tier that actually includes CRM sync — not each vendor's cheapest advertised price, which for three of these four tools belongs to a lower tier that doesn't include CRM integration at all. (See the individual sections and Methodology below for how each of these was checked and where sources disagreed.)
Fireflies.ai — deepest dedicated sales feature set, and the cheapest fully-capable tier
Fireflies launched a dedicated AI Sales Suite in July 2026, and it's the most sales-specific feature set of the four tools reviewed here: Deal Intelligence (flags at-risk deals, competitive mentions, missing stakeholders), CRM Autofill (auto-populates Salesforce/HubSpot contacts and opportunities), AI Scorecards graded against MEDDIC/BANT/SPICED or a custom methodology, an AI-generated call-prep briefing pulling from past calls/emails/CRM/recent news, and a natural-language query tool ("AskFred") for pulling deal and rep information on demand.
These features require the Business plan, $19/user/month billed annually ($29/month billed monthly) — independently confirmed by two secondary pricing sources, which also confirm the cheaper Pro plan ($10/user/month annual, per our Otter vs. Fireflies article) has only limited CRM connectivity, not the full sales feature set. At $19/user/month annual, Fireflies' Business plan is the cheapest fully sales-capable tier of the four tools compared here — worth noting plainly, since Fireflies is also one of the two tools on this page that runs an affiliate program this site may earn from. We're not hiding that behind a "just trust us" ranking: the $19 figure is directly checkable against Fireflies' own pricing page and the two independent sources cited in our methodology.
Otter.ai — solid CRM push, sales features still maturing relative to Fireflies
Otter's Business plan ($19.99/user/month annual, $30/month monthly — confirmed directly from Otter's own pricing page) includes native Salesforce and HubSpot push-sync, an "Otter Sales Notetaker" mode, deal-intelligence signal extraction (buying signals, forecast-model updates), and live-call prompts for objection handling. That's a genuinely useful set of features, and at $19.99/user/month it's essentially price-matched with Fireflies' Business tier.
Where it's currently behind Fireflies specifically for sales use: Otter's own marketing describes its CRM integrations with an asterisk ("Salesforce, HubSpot"), and doesn't detail a structured scorecard/methodology-grading system the way Fireflies' MEDDIC/BANT/SPICED scorecards do. Otter remains a strong general-purpose choice — see our head-to-head article for why it's the better pick outside a sales-specific use case — but for a team whose main ask is structured deal coaching, it's presently the less purpose-built of the two. We have no affiliate relationship with Otter, so there's no commission incentive either way in that assessment.
Fathom — real CRM sync and coaching, gated behind its second-highest tier
Fathom syncs deal summaries (pain points, timelines, decision-makers) into Salesforce and HubSpot, and offers AI Scorecards graded against a chosen sales methodology plus a "Deal View" for tracking prospect status — a comparable feature set to Fireflies' and Otter's sales tooling. The catch: per an independent pricing breakdown, CRM field sync and the coaching/scorecard features are exclusive to Fathom's Business plan ($25/user/month annual, $34/month monthly) — the cheaper Team plan ($15/user/month annual) does not include them, despite being positioned as Fathom's team-oriented tier. A sales team evaluating Fathom on the Team plan's price alone would be missing the features that actually matter for this use case. We have no affiliate relationship with Fathom.
tl;dv — cheapest basic CRM sync, but coaching costs meaningfully more than the other three
This is where source-checking mattered most, and where the fact that tl;dv runs an affiliate program this site may earn from means it deserves the closest scrutiny. tl;dv's own blog describes its Pro plan ($18/user/month annual) as including "native HubSpot, Salesforce, Pipedrive" integrations — a claim independently corroborated by one third-party pricing source, which agrees Pro is genuinely the entry point for CRM connectivity, not Business. But that same independent source, and a second one, both confirm that AI coaching feedback and deeper field-level CRM mapping require tl;dv's Business plan — $59/user/month annual, more than 3x Pro's price and meaningfully more expensive than the Business/Growth-equivalent tier on any of the other three tools. A third independent source we checked disagreed and described CRM sync itself as Business-exclusive; given that it was outvoted by two other sources including one with no relationship to tl;dv, we've gone with "basic sync on Pro, coaching on Business" as the better-supported reading, but we flag the disagreement here rather than quietly picking whichever reading looked better.
Bottom line for a sales team specifically: if all you need is calls landing in your CRM, tl;dv's Pro plan is the cheapest way to get that among these four tools. If you want the AI coaching and scorecard features that make this article's other three tools worth considering for sales specifically, tl;dv's price stops being the cheapest option and becomes the most expensive one by a wide margin.
So which one should a sales team actually buy?
Not a single "winner" — the honest answer depends on what a team actually needs:
- Want the deepest built-for-sales feature set at the lowest fully-capable price: Fireflies Business ($19/user/month annual) is the strongest combination of price and sales-specific functionality in this comparison.
- Already deep in Otter for general note-taking and want to add sales features without switching tools: Otter Business ($19.99/user/month annual) is close behind Fireflies on both price and capability.
- Want CRM sync with structured coaching scorecards and don't mind a mid-range price: Fathom Business ($25/user/month annual) is a reasonable middle ground.
- Only need calls to land in the CRM, no coaching layer required, and want the lowest price point full stop: tl;dv Pro ($18/user/month annual) is the cheapest way to get basic sync — but budget for Business ($59/user/month annual) if coaching turns out to matter later, since that's a large jump, not a small upsell.
Disclosure and methodology
This site may earn a commission if you sign up for Fireflies.ai or tl;dv through links on this page — both run affiliate programs (Fireflies through FirstPromoter, tl;dv through its own Affiliates program; each sets its own commission terms). We have checked and confirmed neither Otter.ai nor Fathom offers a cash affiliate program (both offer credits/free months only) — we get nothing if you choose either of them, and we've written this article the same way regardless.
Every price in this article was checked against each vendor's own pricing page where accessible, cross-referenced against at least one independent third-party pricing source, dated 2026, not older archived pricing. Where independent sources disagreed (tl;dv's CRM-sync tier placement), we said so explicitly rather than picking silently. We did not rely on any single vendor's own marketing copy as the sole source for a competitor's pricing or feature claims, and where a figure came from a vendor's own page about itself (e.g., Fireflies' AI Sales Suite feature list, Otter's own pricing page), we note that in the text.
This article exists in the same spirit as our budget/free-tier comparison, which we corrected after our own reviewer caught a ranking error that (coincidentally) favored a tool that runs an affiliate program over a cheaper competitor that doesn't. That correction is why every price comparison on this site now gets checked against independent sources before publication, and why this article states plainly, in the section above, that Fireflies — one of the two tools here that runs an affiliate program — happens to come out as the cheapest fully-capable option in this specific comparison, with the sourcing to back that claim rather than asking you to take our word for it. See our full methodology and disclosure policy for how this applies site-wide.
